Massachusetts RMV Business Registration Setup

If you are registering a vehicle under a business name in Massachusetts, the business must first be verified with the Massachusetts Registry of Motor Vehicles (RMV).

At Risman Insurance Agencies, we assist our commercial auto clients with the registration process — including insurance certification and eligible registry transactions.

Below is what we need from you to complete the process efficiently and help avoid delays.


Step 1: Confirm Your Business Information

The IRS verification letter must match exactly what is listed with the Massachusetts Secretary of the Commonwealth.

How to Check:

  • Enter your business name in the search field
  • Select your company from the results
  • Confirm the exact legal business name
  • Confirm the business address listed
  • Ensure this information matches your IRS documentation exactly

Important: Most RMV rejections occur due to mismatched business names or addresses between IRS records and Secretary of State filings.


Step 2: Provide EIN Verification

Please provide one of the following IRS documents:

  • IRS Form 147C (EIN Verification Letter)
  • IRS Form CP575 (EIN Confirmation Letter)

Requirements:

  • The document must be dated within the past two (2) years
  • The business name and address must match Secretary of State records exactly

Request a Form 147C (EIN Verification Letter).

  • The IRS can only mail or fax the document
  • If requesting fax delivery, confirm the representative can fax the letter
  • The IRS may fax the document directly to our office

Once we receive the EIN verification letter, we will submit it to the RMV to establish your business in their system. The verification process is typically quick once proper documentation is received.


Step 3: Registration & Insurance Certification

Massachusetts requires valid commercial auto insurance before a business vehicle can be registered.

Once your business is verified and insurance coverage is confirmed, our team will:

  • Prepare and complete the Registration & Title Application (RTA)
  • Certify insurance coverage as required by Massachusetts law
  • Coordinate the registration process

How do I get IRS Form 147C?

If you do not have your EIN verification letter, you must request a Form 147C directly from the IRS.

Call the IRS Business Line at:

Request an EIN Verification Letter (Form 147C).

The IRS can only issue this document by mail or fax.

If you prefer fax delivery, confirm that the IRS representative is able to fax the document before proceeding. Not all representatives have fax capability.

What is IRS Form 147C?

Form 147C is an official IRS letter confirming your business’s Federal Employer Identification Number (EIN).

It is used when the original EIN confirmation letter has been lost or when official verification is required by agencies such as the Massachusetts RMV.

How do I get IRS Form CP575?

Form CP575 is the original EIN confirmation letter mailed to you when your EIN was first issued.

The IRS does not reissue CP575 once it has been sent.

If you cannot locate your CP575, you will need to request a Form 147C instead.

Why does the IRS form need to be dated within two years?

The Massachusetts RMV requires recent verification of your EIN and business information.

Documents dated more than two years ago may be rejected.

What if my business address doesn’t match the Secretary of State?

The business name and address listed on your IRS document must match exactly what is filed with the Massachusetts Secretary of the Commonwealth.

If the addresses do not match:

  • The RMV may reject the submission

  • You may need to update your address with the Secretary of State

  • Or request updated EIN verification from the IRS

Can I register a vehicle under my business without setting up with the RMV first?

No.

Your business must be properly verified in the RMV system before a vehicle can be registered under the company name.

Can Risman handle my business vehicle registration for me?

For most standard registration transactions, our team can handle the RMV process on your behalf. This includes preparing required paperwork, certifying insurance coverage, and coordinating the registration.

Do I need to complete the Registration & Title Application (RTA) myself?

No. For our commercial auto clients, our team prepares and completes the Registration & Title Application (RTA) and certifies the insurance section as required by Massachusetts law.

If a vehicle is purchased from a dealership, the dealership may also prepare the RTA.

Does Risman issue license plates?

Yes — plate issuance is available at select Risman Insurance Agencies office locations for eligible transactions.

Availability may vary by location and transaction type. Registry services may also be subject to a service fee.

What types of registrations cannot be handled through your office?

Certain transaction types may require the business owner to appear at the RMV directly. This can include specialty registrations, ownership changes with unusual circumstances, or transactions requiring additional state verification.

If your transaction requires an in-person visit, our team will let you know.

What happens if my IRS letter doesn’t match the Secretary of State records?

If the business name or address on your IRS Form 147C or CP575 does not match what is listed with the Massachusetts Secretary of the Commonwealth, the RMV may reject the submission.

In that case, you may need to update your business filing with the state before the RMV will establish the business in their system.

How long does the RMV business verification process take?

Once we receive a valid IRS verification letter that matches Secretary of State records, the business setup process with the RMV is typically completed quickly.

Delays most often occur due to mismatched addresses or outdated IRS documentation.

Is there a fee for registry services?

Registry runner and plate issuance services may be subject to a service fee. Our team will review any applicable fees with you prior to processing your transaction.

Do I need commercial auto insurance before registering a business vehicle?

Yes. Massachusetts requires valid commercial auto insurance before a vehicle can be registered under a business name.
