AI and automation can make insurance service faster and more convenient. Their greatest value, though, is helping people deliver better service: finding reliable information, following through on requests, and making time for a real conversation when a client needs one.

At Risman Insurance Agencies, we believe every improvement should come back to one question:

Is this what’s best for our clients?

That question belongs in every decision we make. It matters when we review a process, consider a new tool, explain coverage options, or decide how to handle a client’s concern. Efficiency matters. What we do with that efficiency matters even more.

Fewer clicks should mean more time for clients

There is real value in making work easier. Reentering information, searching through disconnected records, and moving a request from one inbox to another can take time away from helping someone.

Thoughtfully designed automation can reduce that repetitive work. A request can reach the right person with the information they need. A reminder can help keep a follow-up from being overlooked. A well-organized resource can make an answer easier to find.

Those improvements should translate into something a client can feel: less repetition, clearer communication, and fewer loose ends.

Saving a few clicks is useful. Using that saved time to explain a deductible, ask a thoughtful follow-up question, or help someone understand their next step is where the real service happens.

A voice on the other end of the phone still matters

Sometimes an online form is exactly what someone wants. They can send information when it fits their schedule and get on with their day.

Other times, they need to talk.

A client who has just been in an accident may be worried and unsure what to do first. A homeowner looking at a renewal may want help understanding what changed. A business owner may have a question that does not fit neatly into a dropdown menu.

In those moments, good service means listening long enough to understand the concern. It means explaining the next step in plain language, recognizing when more research is needed, and taking responsibility for following up.

A digital option should make getting help easier. Reaching a person should remain a meaningful part of that experience.

For clients who want to connect with someone at Risman, our team directory provides direct contact information. Convenience and personal connection should work together.

Better information makes a better conversation possible

Having answers at your fingertips is valuable—but only when those answers are reliable and relevant to the person asking.

AI can help organize and summarize information. It also requires careful review: the National Association of Insurance Commissioners notes that AI-generated information can sound accurate while being incorrect, and emphasizes the continued importance of human judgment. Read the NAIC’s overview of AI in insurance.

In practice, that means a quick answer still needs to be checked against the right source. A general explanation of insurance is not a determination of what an individual policy covers. Policy terms, exclusions, endorsements, and the circumstances of a loss matter.

The goal is to equip the person helping you with useful information so they can spend more of the conversation listening and explaining. Sometimes the most responsible answer is, “Let me confirm that and get back to you.” Good service includes both knowing where to look and recognizing when to look more closely.

The basic principles should guide every improvement

At Risman, striving for excellent customer service means keeping the fundamentals in view as tools and processes evolve:

  • Listen first. Understand the client’s situation before assuming which answer or process fits.
  • Put accuracy ahead of speed. A fast response is helpful when the information is correct and the limitations are clear.
  • Make help accessible. Offer convenient ways to connect while recognizing when a conversation is the better choice.
  • Protect client information. Consider privacy and appropriate access when evaluating how information is collected, shared, and used.
  • Follow through. Receiving a request is the beginning; clients also need to understand what happens next and whether anything remains outstanding.

These principles give process improvements a practical test. Does a shorter form still collect what is needed? Does an automated message explain the next step? Does a new tool help our team understand the client—or create another obstacle between them?

A process can look efficient on a screen and still leave someone confused. That is why the client’s experience has to be part of how we judge success.

We’re learning, too—and sometimes we get it wrong

We have had our share of automation hiccups. We’re insurance professionals first, and we’re still learning how to make the most of the marketing and communication tools available to us.

If you receive an automated email from us that leaves you thinking, “Was this meant for me?”—please bear with us. We may have had an “oops” moment. Sometimes a process needs one more test before it deserves a victory lap. We’re sorry for the confusion, and we appreciate your patience.

That doesn’t make a confusing message any less frustrating. If something seems off, please let us know so we can look into it, clear things up, and work on preventing the same mistake. An automated message should never leave you guessing about your insurance or whether you need to take action.

Putting clients first also means being willing to acknowledge when something didn’t work as intended. We won’t get every improvement right on the first try. We want to listen, learn, and do better.

What “best for our clients” means at Risman

We’re sharing the standard we’re working toward, with room to learn along the way. As we improve our processes, we want to preserve the personal attention that makes an insurance relationship valuable.

That means looking beyond how quickly a task moves through a system. Did the client get a clear explanation? Did we address the actual concern? Did we make it easier to reach the right person? Did we leave them understanding their options and next steps?

Technology will continue to change. Our guiding question should remain the same: Is this what’s best for our clients?

At the end of the day, good customer service will always be the standard we strive to meet. The most useful technology helps us live up to it—with better information at our fingertips and more room for the human conversation.
